Privacy Policy - Easy Space

Avit Tech, LLC, a Delaware limited liability company doing business as Easy Space (“Easy Space,” “we,” “us,” or “our”), provides software for coworking and flexible-workspace operators. This Privacy Policy describes how we handle information in connection with https://easyspace.app/ and related applications (the “Services”). It should be read with our Terms of Service.

1. Two roles: Easy Space vs. workspace operators

Easy Space is used by businesses that run coworking spaces (each an “Operator”). Operators enter information about their members, bookings, memberships, invoices, and similar records (“Customer Data”).

For Customer Data, the Operator generally decides why and how that information is processed in connection with its workspace. Easy Space processes Customer Data on the Operator’s behalf to provide the Services. Requests about a member’s records in a particular workspace (for example name, bookings, or membership) should be directed to that Operator. Easy Space is not the Operator’s landlord, employer, or party to the Operator’s agreements with its members.

Easy Space determines how it handles information it collects for its own business, such as Operator account registration, platform billing, marketing, website analytics, and support (“Easy Space Account Information”).

2. Easy Space Account Information we collect

When you register, subscribe, or contact us, we may collect:

name, email, phone, and billing or business address;
payment and subscription details (processed via payment providers);
support messages and related correspondence; and
other information you choose to provide.

We also collect usage and technical data, such as IP address, browser and device information, pages viewed, log data, and cookies or similar technologies.

3. Customer Data processed for Operators

Operators may submit Customer Data including member names and contact details, reservations, memberships, invoices, access or resource records, and similar workspace operations data. Easy Space processes this information to provide the Services to the Operator. Operators are responsible for the lawfulness of Customer Data they upload, including notices or consents to their members where required.

4. How we use information

We use Easy Space Account Information and related technical data to:

provide, maintain, bill for, and support the Services;
communicate about the account, security, and (where permitted) product updates or marketing;
analyze usage in aggregate or identifiable form to operate and improve the Services; and
prevent fraud, enforce our terms, and meet legal obligations.

We use Customer Data to host and process it for the Operator as part of the Services, and as otherwise described in our Terms of Service (including security, abuse prevention, and legal compliance).

5. Sharing

We may share information:

with service providers and subprocessors that process information on our behalf (for example hosting, payments, email, and analytics), subject to contractual obligations where required by applicable law;
in connection with a merger, acquisition, financing, or sale of assets;
if required by law or to protect rights, safety, or security; and
with the Operator and its authorized staff, for Customer Data in that Operator’s account.

Payment processors and other third-party services are governed by their own terms and policies. Easy Space does not control those services.

6. Cookies

We use cookies and similar technologies for essential operation of the Services (such as authentication) and, where enabled, for analytics or similar purposes. You may control some cookies through your browser. Disabling essential cookies may prevent the Services from working.

7. Security

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information, taking into account the nature of the information and applicable legal requirements. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. We are not responsible for unauthorized access, disclosure, loss, or alteration of information except to the extent we cannot disclaim that responsibility under applicable law.

8. Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including providing the Services, satisfying legal, accounting, and reporting obligations, resolving disputes, preventing fraud, and enforcing agreements. Residual copies may remain in backups for a limited period in accordance with our backup and retention procedures.

After an Operator’s subscription ends, Customer Data may be deleted after a commercially reasonable period as described in the Terms of Service, subject to backups and legal holds.

9. Requests about information

Operators can review and update much of their Easy Space Account Information in the dashboard. You may contact us at support@easyspace.app about Easy Space Account Information.

If you are a member or guest of a coworking space that uses Easy Space, contact that Operator about your Customer Data (bookings, memberships, invoices, and similar records). We may redirect such requests to the relevant Operator.

You may opt out of promotional emails from Easy Space using unsubscribe links in those emails. This does not affect transactional messages about your account or the Services.

10. International processing

We and our service providers may process information in the United States and other countries. Those locations may have different data-protection rules than your country of residence.

11. Children

The Services are directed to businesses and are not intended for children under 18. We do not knowingly collect Easy Space Account Information from children.

12. Changes

We may update this Privacy Policy by posting a revised version on this page and updating the date above. Continued use of the Services after the effective date constitutes acceptance of the revised Policy.
